    • Can Sapphire run on my hand-held device?
      • Yes.
        However, for best results you are advised to use a laptop, desktop computer or at minimum, a tablet with a recommended screen resolution of 1024x768.
  • Account
    • How to register for a Sapphire account
      • A. If you do not have a Sapphire account:
        If you anticipate applying for a grant and you do not have a Sapphire account you are required to register for an account through the form on the Sapphire Landing Page by clicking on "Register for a Sapphire Account" and filling out the registration form.

        When your account has been activated, you will receive an email containing a 'Password reset' hyperlink. Upon resetting your password, you will be prompted to login using your primary email address (where you received the 'Sapphire reset password' email) and password. The link to reset the password will expire within 4 days.

        Note: The Research Help Centre cannot guarantee account activations will be processed immediately. All researchers listed as CI/AI must commence activation of their Sapphire account (and/or submit the account registration form) at least 72 hours prior to the application close date for the relevant Grant Opportunity.

        B. If you require Institutional Account access:
        If you already have a Sapphire account and require additional access to perform administrative tasks in Sapphire, please contact your Research Administration office to discuss your requirements. They will complete and submit a Sapphire Institutional Account Access request on your behalf to the Research Help Centre. If you need to follow up on your access request, please don’t hesitate to contact help@nhmrc.gov.au quoting the ticket number your Research Office received when they submitted your Access request.
    • What do I do if the link in my password reset email does not work?
      • The 'Password reset' link is valid for 4 days following receipt of the email. If you do not reset your password within this time you will be required to click 'Login' then 'Reset your password' on the Sapphire login page to be reissued with another email. If multiple requests are made, only the most recently generated email will work.

    • How do I change my password?
      • To change your password while logged into Sapphire, click 'Account Settings'. Click on 'Change password', complete the required fields and click 'Save'.

    • I have forgotten my username/password. What do I do?
      • Within Sapphire, your primary email address is your account username. If you are unsure which email address is linked to your account, please contact the Research Help Centre at help@nhmrc.gov.au or 1800 500 983.

    • I have changed my email address. What do I do?
      • Within Sapphire, your primary email address is also your account username. To change your username (primary email address), login to Sapphire and click 'Account Settings'. Click on 'Change username', complete the required fields and click 'Save'.

    • I have changed my Primary institution or surname. What do I do?
      • To change your Primary Institution or surname while logged into Sapphire, click 'Account Settings'. Click on 'Personal details', edit the required fields and click 'Save'.

    • Is my system/firewall blocking my Sapphire emails?
      • Sapphire emails are sent from Sapphire.Mail@healthandmedicalresearch.gov.au. Liaise with your local ICT help desk to ensure your emails are being received.
    • Can anyone in our finance team be named CFO in Sapphire?
      • Who can be named as the Chief Financial Officer (CFO) in Sapphire for your Administering Institution is defined in the NHMRC Funding Agreement, clause 1 – Definitions. The named CFO is defined as "the person with principal responsibility for accounting and financial management within the Administering Institution, or another person nominated by the Administering Institution, who is a qualified public accountant or a member of one of the following organisations, CPA Australia, Chartered Accountants Australia and New Zealand, or the Institute of Public Accountants".

        For the purposes of NHMRC’s grants management system (Sapphire), the individual designated for the CFO position holder is expected to meet the above definition.

        In rare circumstances where the Administering Institution may need to nominate someone (who does not meet the definition) for the purposes of undertaking the transactional requirements of Sapphire processing, the actions undertaken in Sapphire will be taken as approved by / under the direction of, the Administering Institution’s CFO.

        The Administering Institution is expected to ensure that the actions undertaken within Sapphire are in adherence with the NHMRC Funding Agreement and if required, to provide evidence of appropriate governance arrangements for the Sapphire role holders.
    • Can one of our researchers at a different Administering Institution be named as an RAO, RO or FO for our organisation?
      • Within Sapphire an individual can only be associated with a single Primary Institution and it is anticipated that the researcher would be primarily associated with their Administering Institution. In the case where the researcher is also working for another AI, technically Sapphire will allow that researcher/individual to be added as a nominated position holder.

        If considering a researcher from a different Administering Institution to be a nominated position holder for your institution please note that it is NHMRC’s preference that researchers are not nominated position holders at the AI. In the event where this is unavoidable it would be expected that the researcher is primarily associated with the AI.

        The actions of the Administering Institution and its position holders are expected to be in accordance with the requirements of the NHMRC Funding Agreement and the Australian Code for the Responsible Conduct of Research, which sets out the overall framework for responsible research practices in Australia.

        If the institution requires a researcher to also hold a position such as RAO, RO, FO or CFO for the purposes of administering grants, particularly through the NHMRC grants management system (Sapphire), then NHMRC expects that the Administering Institution would have appropriate governance frameworks in place to avoid any conflict of interest situations which may arise from this dual role.

        Where the researcher is primarily associated with another institution this would also need to be carefully managed by the AI.
    • Can I as an RAO/RO deactivate another person’s account when they are no longer affiliated with our organisation?
      • Sapphire accounts are established on an individual basis and the individual user is the only one, aside from Sapphire system administrators who can make changes to their account. Another person, including an RAO, cannot request a deactivation of the account. The individual account holder is the only person that can move their account to their new institution or request deactivation.

        In certain circumstances such as the death of a researcher, the Administering Institution is to notify NHMRC’s Research Help Centre.
    • Can an Administering Institution deactivate an Administering Institution account holder’s account where the individual is no longer affiliated with the Administering Institution?
      • Sapphire accounts are established on an individual basis and the individual user is the only one, aside from Sapphire system administrators who can make changes to their account. Another person, including an RAO cannot request a deactivation of the account. The individual account holder is the only person that can move their account to their new institution or request deactivation.

        In instances where a named position holder has moved institutions, the RAO of the losing Administering Institution is to notify NHMRC’s Research Help Centre and request that NHMRC remove position holder access from the individual’s account. In certain circumstances such as the death of the individual, the Administering Institution is to notify NHMRC’s Research Help Centre.
  • Profile
    • Has my profile been migrated from RGMS?
      • Yes. Your Profile data has been migrated from RGMS. Applicants will need to check Sapphire to confirm their information is correct. If you notice any errors in your information, please contact the Research Help Centre at help@nhmrc.gov.au or 1800 500 983.

        Note: Any changes made to an RGMS profile after 5pm on 12 February 2020 will not be replicated in Sapphire. You are therefore advised to avoid making changes to your RGMS CV-Profile data after 12 February 2020, excluding current applicants and peer reviewers using RGMS.
    • Why is my Profile information not up-to-date in Sapphire?
      • CV and Profile information in RGMS was migrated into Sapphire after 5pm on Wednesday, 12 February 2020. If you have edited your CV or Profile in RGMS after this date, you will need to make these changes in your Sapphire Profile.

        Applicants are advised to login to Sapphire, click 'Profile' and review all data to confirm their information is correct.
    • How do I update my Profile?
      • Your contact information i.e. First Name, Family Name, Primary Institution, Phone number and email address can be updated via Account Settings. To update your remaining Profile information, log into Sapphire, click the 'Profile' button on the menu bar which will take you to the 'About My Profile' page. You can then complete the Profile components listed on the left hand side of the page.

    • Can my RAO edit or view my Profile?
      • Yes, by default, RAOs at your Primary Institution are able to VIEW your profile.
        You may choose to allow your RAO to EDIT your Profile by selecting 'Yes' to the 'RAO edit access' questions on the About My Profile page.

    • Can I amend the Author List for an existing Publication in Sapphire Profile?
      • Yes. Click 'Profile' and navigate to the publication you wish to edit, and:
        • Edit Author – Click on edit mode to edit an existing Author.
        • Add Author – Click '+' to add rows for new Authors. Note – Users should not leave blank author roles in the list. A blank row will result in additional ';' punctuation being displayed an application Profile report.
        • Re-order Authors – Click up or down arrows as required to re-order the author list. The first row in the author list will be displayed first in an application Profile report.
    • My Grant isn’t showing in my profile, how do I update?
      • The My Grants section of your Sapphire profile will automatically update to include all NHMRC grants held. There is no action required by (yourself/the account holder) to populate this information.

        Please note: The My Grants data is loaded periodically, if your grant is not currently displaying, please check again in two weeks.

  • Application
    • How do I know if I am eligible to apply for a Grant?
    • How do I find out more information regarding a grant opportunity?
      • General information about a grant opportunity is available on the NHMRC website. Detailed Grant Guidelines documentation for each grant is available on GrantConnect.
    • How do I start an application in Sapphire?
      • Upon login, click on the 'New Application' button, select the Grant opportunity you wish to apply for and complete the application title. Click 'Done' and you will be taken to the application form.

    • How do I change my application title?
      • To change your application title, login to Sapphire and click 'Applications' to open the application view. In the list of applications, click ' ⋮ ' (to the left of application identifier) to open the 'Options' menu. Click 'Rename application', enter the new name and click 'Rename' to complete this process.

    • The ’Next’ arrow does not take me to the next page. What do I do?
      • All mandatory fields of the page need to be completed for the 'Next' arrow to navigate you to the next page of your application. You can still use the side menu buttons to navigate through your application even if you have not completed the mandatory fields.

        Note - Your application cannot be certified until all mandatory fields have been completed.
    • Can a non-Chief Investigator prepare the application?
      • Yes. Any person with a Sapphire account can login to Sapphire and click '+ New application' to create an application. The person who creates the application is the Application Owner. The Application Owner can complete all parts of the application and does not have to be a research team member; however they must nominate at least a Chief Investigator A (CIA) for the application.

        Note - Only the CIA can certify and submit the application to a RAO.
    • How do I add a Chief Investigator to my application Research Team?
      • In the 'Research Team' section of the application form, click '+' to add additional Research Team members. Select the applicable Chief Investigator 'Role' from the drop-down menu. In the 'Name' field, begin typing the name (or email address) and click to select the correct individual. Click '+' to add rows for additional Chief Investigators.

        Note – CIA will have EDIT rights by default. All other CI/AIs will have VIEW rights by default. The 'Invite to Register and Manage Access' function may be used to review and update application access.
    • I can’t find a Chief Investigator (or Associate Investigator) in Sapphire. How do I add them to my Research Team?
      • In the Research Team section of the application form, the Application Owner canprompt a Researcher Team member without a Sapphire account to register forSapphire by clicking 'Invite to Register and Manage Access'. Enter the fullemail address, hit the tab key and then select the appropriate option from themenu to:
        • Invite to register for Sapphire
        • Invite and grant view access to application, or
        • Invite and grant edit access to the application.

        The invited researcher will receive an email to prompt them to register for Sapphire. When the registration is complete, they may be added to the application as a Research Team member. Alternatively, if the 'invite with edit access' option was selected, the new user may add themselves to the Research Team.
    • Are research team members notified when added to an application?
      • Yes. CIs and AIs will receive a Sapphire email invitation to join the application as a Research Team member. The email contains application details, including the Grant Opportunity, Application ID, Application Title, obligations, options to 'Accept' or 'Decline' the invitation, and the contact details of the Application Owner.
    • How do research team members accept or decline being on an application?
      • The user can click on the notification bell to show their outstanding invitations, select the appropriate invitation and indicate their decision:
        Application Acceptance - Notification Bell and popup Accept or Decline window.

        As the outcome of the invitation is stored within Sapphire, research offices will no longer need to keep this information separately.
    • How do I share an application with edit (or view only) access?
      • To share your application, click 'Applications' to open the application view. In the list of applications, click ' ⋮ ' (to the left of application identifier) to open the 'Options' menu. Click 'Invite user to register and share application'. You will need to enter the full email address, hit the tab key and then select the appropriate option from the menu to:
        • 'Invite or share with view access' to the application, or
        • 'Invite or share with edit access' to the application.

        The invited researcher will receive an email notification and the application will be available for selection in their 'Applications' view.

    • Can my Research Team edit my application?
      • Yes. Following submission, the 'View application' option will be available via the Applications view. Click 'Application' to display your list of applications. Then click ' ⋮ ' (located to the left of application identifier) to open the 'Options' menu.

        Any Sapphire user with access to the submitted application may view the full application, including grant proposal, application summary, application report and profile report.
    • Can I view my Application Report, Profile Report and Application Summary prior to submitting my application?
      • Yes. Any Sapphire user with access to an application can generate application reports ('snapshots') by clicking the 'Preview' button.
    • Can I or my research team see our application after it has been submitted?
      • Yes. Following submission, the 'View application' option will be available via the Applications view. Click 'Application' to display your list of applications. Then click ' ⋮ ' (located to the left of application identifier) to open the 'Options' menu.

        Any Sapphire user with access to the submitted application may view the full application, including grant proposal, application summary, application report and profile report.
    • I have submitted my application, can I still make changes?
      • Yes. During the application period (and prior to the round close date), applications with a status of 'Submitted to RAO' or 'Submitted to NHMRC' may be returned for editing. Contact your RAO for assistance with this process.
    • Is the primary RAO the only RAO that can endorse an application and complete the final submission to NHMRC?
      • No. Any RAO at the Administering Institution may view/review the application complete the approval process to finalise and submit to NHMRC.
    • Can my application be submitted if a Chief Investigator/Associate Investigator has not accepted their invitation to participate?
      • No. Applications cannot be CIA-certified and submitted to RAO until all listed CI/AIs have accepted their invitations in Sapphire.
    • Why are a Chief Investigator’s details missing from my application Profile Report?
      • If all details are missing for one CI, it may be that the CI has not accepted their invitation to participate (and permission has not been provided for their profile information to be included).
        If only some details are missing, the CI may need to update their profile in Sapphire.
    • Why can’t I see the RAO ’Approvals’ tab as it appears in the video tutorial?
      • The approvals tab becomes available to all RAOs when the Administering Institution receives its first CIA-certified application.
    • Can I swap Chief Investigator A with Chief Investigator B, after their invitations have been accepted?
      • Yes. For the first CI to be swapped, click the 'Role' drop-down located under 'Research Team' and select the new value (i.e. CIB). Then, locate the second CI to be swapped and select the new 'Role' value (i.e. CIA). After the roles have been swapped, the research team doesn't automatically display in the correct order. Click ' ⋮ ' (to the left of the word Role) to drag and drop the research team members to reorder the list so that it displays as CIA-CIJ.
    • What do I do if I can no longer participate in the Research team and wish to revoke consent? (Applies to Chief Investigator or Associate Investigator roles only)
      • If you have 'edit access', you can remove yourself from the Research team. Alternatively, you may notify the application CIA or RAO, who then have the responsibility for removing you from the application.
  • Conflicts of Interest (CoI) and Suitability Survey
    • How do I access my CoI and suitability survey in Sapphire?
      • Peer reviewers will receive an email containing a link inviting them to complete CoI and suitability Survey declarations. If the link in this email does not take you to the survey page, first login to Sapphire, and then click the link in your email. This will take you directly to the page to declare your CoI and suitability.

    • How do I access the Application Summary documents in Sapphire?
        • Download individual Application Summaries – Click 'PDF' icon GMA icon showing PDF. next to the Application ID to download one application summary document.

        • Download All – Click the 'down arrow' icon GMA icon down arrow located next to the Quick Search function at the top of the page to download all application summary documents in one zip file.

    • How do I find a specific application within the suitability survey?
      • There are two ways to refine the list of applications.
        • Clicking the title of the columns related to Application ID, Institution and Title will toggle results to display in ascending/descending order to make finding specific applications easier.

        • The Quick Search function located at the top of the page above the Application ID column is a way to locate individual applications. Simply type the full Application ID number into the box, or part of the Institution or Title to refine your search.

    • I’ve requested a CoI ruling for one or more applications. What happens next?
      • When request a ruling is selected, Sapphire sends a notification to the relevant NHMRC Project Officer. The Project Officer will assess and record a CoI ruling in Sapphire. The ruling will then be displayed to the Peer Reviewer in the NHMRC Ruling column.
    • While completing my suitability survey, I have declared a CoI in error. How do I correct my declarations?
      • Peer Reviewers may self-update their declarations in Sapphire at any time whilst the survey is available. Alternatively, a late CoI change may be communicated to the relevant NHMRC Project Officer by email.

  • Completing My Assessments
    • How do I download application documents in Sapphire?
      • Application documents can be downloaded for each application by clicking GMA icon showing hamburger menu toggle. and selecting ’Download Application’ from the dropdown. In addition, the ’Download All Applications’ button, at the top of the My Assessments page can be used to download documentation pertaining to all applications you have been assigned.

        To download all applications for review ahead of a panel meeting, bar high conflicts of interest, select ’Download Panel Applications’ from the left-hand menu and click GMA icon showing a down arrow. under the ’Download’ column.
    • When downloading application documents, the zip folder size says ’0 kB’, is there anything in the folder?
      • Yes, there are still documents in that folder even though the file size says 0 kilobytes. You can open the folder to find the documents with the correct file sizes.
    • What does the filter function in the My Assessments list do?
      • The filter function, accessed by clicking the GMA icon showing a column filter. button in column headers on the My Assessments list, provides you with a selectable list of a text field to filter by for each column. For text search fields, clicking the ’Contains’ dropdown brings up other filter types.

        Note, for date fields, filtering by ’greater than’ is best practice. You can also drag a column to reorder your columns as well as drag a column header to resize the same as you would in an Excel spreadsheet.
    • How do I save my assessment?
      • There is no ‘Save’ button. Rather, Sapphire will save your progress automatically as you progress through an assessment. If you leave an assessment without submitting, your responses will be saved in the form.
    • How do I return to My Assessments page before submitting an assessment form?
      • If you wish to leave an assessment form without submitting and return to the My Assessments page you can use the GMA icon showing a left arrow. button at the top left corner of the Sapphire screen.

        Alternatively, you can:
        • Use your browser's 'Back' button, or
        • Navigate to your Profile page and back to My Assessments.
    • One of my assessment forms displayed the warning ’Connectivity issue identified. Please review your form before submitting’ when Sapphire auto-saved my form. What does this mean?
      • This warning will appear if you have an internet connection disruption during your session. This may mean that part of the assessment has not saved properly. In order for the form to save please navigate between assessment form pages to trigger a save (see instruction above).

        If navigating between the pages does not allow you to submit, or your assessment only has one page, please try re-scoring a question. You can do this by either selecting a new score on the scoring slider and then reselecting your preferred score, or by clicking into a comment field, adding a character then removing it.

        If the issue persists, please consider saving your information off system and contacting the Research Help Centre for assistance.
    • I have completed the assessment form, but the Submit button is still greyed out?
      • The ‘Submit’ button will remain greyed out until the requirements for submission are met. Mandatory questions are marked with an asterisk.
    • How do I view an Indigenous Assessors comments?
      • Ahead of submission for applications with ’Is IREC’ in the IREC Determination column, click the GMA icon showing hamburger menu toggle. icon in the assessment row and select ’View Shared Assessments’.

        At the end of the column, select the ’View’ button to see comments against each criteria.
  • Submitting an Assessment
    • I submitted an assessment before I was ready. How do I edit my submission?
      • Assessment submissions may only be reversed for editing purposes by NHMRC Project Officers. Please email your request to reverse the assessment submission to the scheme's inbox, including the application number and reason for editing. Once the project officer has unlocked your assessment, they will inform you when you can go in and make any changes.
    • Why are my assessments grey?
      • Greyed out assessments are assessments that are no longer editable as they have either been submitted or the assessment period has closed. You can view still view submitted assessments if needed by clicking anywhere on the grey line.
    • My assessment says ’In Progress’ but is grey and I can’t edit it, why?
      • Most likely the assessment due date has passed and the assessment closed before you were able to complete the assessment, you can view why your assessment is closed by hovering over the question mark at the end of the assessment row. If you believe this assessment has closed by mistake please contact the relevant Project Officer.
    • What does the question mark next to my closed assessment mean?
      • Hovering over the question mark at the end of an in-editable assessment row will inform you of why that assessment is not editable.

        For example; ’This assessment has been submitted’, or ’The assessment stage is closed' and so on.
  • Select and Postaward
    • How to access application outcomes in Sapphire

      • When outcomes are available in Sapphire, CIAs will receive an email notification and RAOs will be notified via RAO Alert
        NOTE: RAOs will not receive a separate system-generated email notification.

        CIAs can access outcome documents (e.g. outcome letters, assessment summaries, funding agreement schedules) as follows:

        • Login to Sapphire at: https://sapphire-grants.healthandmedicalresearch.gov.au
        • Select the Applications tab, and navigate to the application you wish to review the outcome for,
        • Select the vertical ellipses (three dots) and select 'Application Information' – This will access your application and land you on the Details section. Selecting 'Documents' on the left-hand menu will allow you to access documents generated post submission relevant for this application. In this section, it will contain your application results letter.

        CIB-CIJ can similarly access outcomes where they have been given edit access to the application by the CIA.

        RAOs can access outcome (Award) dashboards by following the steps outlined below.

    • How to accept or decline grant offers in Sapphire
      • RAOs can accept or decline offers in Sapphire as follows:
        • Login to Sapphire at: https://sapphire-grants.healthandmedicalresearch.gov.au
        • Click on the 'Approvals' icon via the main Banner heading,
        • The new screen will navigate to the Approvals page. The Approvals page contains two ways to review and accept or decline a grant offer:
          • Approval List
            • Approval list provides RAOs with a detailed view of the grant offer and allows acceptance for grant offers on an individual basis’
          • Action Approvals
            • Provides a list view of all approvals for the institution (Application & Grant) and allows for multi-select accept/decline recommendations to be submitted to the RO in Bulk.

    • How to access grants in Sapphire
      • RAOs and CIAs can access grant information in Sapphire as follows:
        • Login to Sapphire at: https://sapphire-grants.healthandmedicalresearch.gov.au
        • Click on the Grants icon on the Sapphire Homepage banner,
        • In the case of RAOs - the new page will display all grants administered by your institution as well as the current status of each grant.
        • In the case of CIAs - the new page will display all grants administered by your institution for which you are listed as the CIA.

    • How to complete ‘At Award’ conditions and other milestones in Sapphire
      • If in the application it has been determined that the grant will require ethics clearances, or the peer review process determined that the grant will require ethics clearances, the CIA must meet this milestone prior to NHMRC releasing funds for the research activity.
        CIAs can complete an At Award condition (e.g. Ethics clearances) or other milestone as follows:
        • Login to Sapphire at: https://sapphire-grants.healthandmedicalresearch.gov.au
        • Grants with Outstanding At Award Ethics milestones will have the Status 'Pending Condition'.
        • Select the Milestones list from the Sapphire Banner – This list contains all Milestones over the life of this grant and any other grant the CIA is responsible for.
        • Select the specific milestone to meet from the list, in this example 'Ethics Information'.
        • Select 'Complete Report' to open the Ethics At Award form.
        • Once completed by the CIA, the RAO will review the milestone and submit it to NHMRC or return to the CIA for additional information.
        • Once the Milestone has been accepted by the RAO, the milestone has been met and the grant will begin/continue paying.
